AgencyKit · Tasks & Approvals

Tasks that bill themselves.

AgencyKit is task management for agencies where the board knows the money. Link a task to a service and a unit count, run the built-in timer while you work, and when the task completes, the client's retainer units and your timesheets update themselves.

What is AgencyKit Tasks?

AgencyKit Tasks is a kanban task board for agencies where work is wired to money. Tasks link to services from your catalog, completing one consumes the client's retainer package units, a built-in timer feeds timesheets and billable hours, and on Agency Pro a manager approves work before it counts. Included in every plan from $9 a month.

Sound familiar?

Done on the board. Missing from the invoice.

Three tools, zero agreement

Tasks live in a PM tool, billing in another app, and the retainer sheet in a spreadsheet. None of them agree on what actually got done this month.

"Done" that nobody reviewed

A card gets dragged to Done and the work goes straight to the client. Nobody checked it, so the client becomes your reviewer.

Hours worked, never billed

The task took six hours. The timesheet says nothing and the invoice says less. Untracked time is a discount you never agreed to give.

What you get

A board that counts what work costs.

Kanban on the surface, billing underneath.

Kanban that stays organized

Todo, in progress, review, complete. Priorities, due dates, tags, and checklists inside every task, plus recurring tasks for the work that comes back every month.

Tasks linked to services

Pick a service from your catalog and set a unit count. "Design 9 posts" becomes the Social media design service, 9 units. The task now knows exactly what it is worth.

Retainer usage tracks itself

Complete a service-linked task and the client's package units are consumed automatically. No usage spreadsheet, no month-end reconstruction.

Timer to timesheet to invoice

Start the built-in timer on any task. Tracked time flows into timesheets and billable hours, with tracked and billed time recorded separately, so nothing leaks.

Approvals with a name on them

On Agency Pro, a finished task waits in Review until the member's manager approves it into Complete. Every approval is stamped with who signed off.

AI drafts the plan

On Agency and up, describe the project and AI drafts the task list. You edit, assign, and start the timers instead of staring at an empty board.

The Review column with teeth.

On most boards, anyone can drag a card to Done and the client sees whatever landed there. Turn on approvals in AgencyKit (an optional per-workspace toggle on Agency Pro) and a member finishing a task sends it to Review. Only their manager from the org chart can approve it into Complete, the approval is stamped with who signed off, and only then does the work count. The notification opens the exact task, so review takes one click, not a hunt.

FAQ

Task questions, answered.

AgencyKit Tasks is a kanban task board for agencies with four columns: todo, in progress, review, and complete. Tasks carry priorities, due dates, tags, and checklists, can link to services from your catalog with unit counts, and connect directly to retainer packages, timesheets, and billable hours. Link a task to a service from your catalog and set a unit count. Design 9 posts is the Social media design service with 9 units. When that task reaches Complete, the 9 units are deducted from the client's retainer package automatically. Usage tracks itself, so there is no usage spreadsheet to maintain.
Every task has a built-in timer. Start it when you begin working, stop it when you switch, and the tracked time flows into your timesheets and billable hours, with tracked and billed time recorded separately. Hours stop leaking between the work and the invoice.
On Agency Pro, approvals are an optional per-workspace toggle. When a team member finishes a task it moves to Review, and only their manager from the org chart can approve it into Complete. Every approval is stamped with who approved it, so done always means reviewed.
Yes. On Agency and Agency Pro, describe a project and AI drafts the task list for you. You review, adjust, assign, and the tasks land on the board ready to work.
